The University Planning & Space (UPS) team is responsible for the oversight, allocation, and reporting of university spaces. We manage official space data, coordinate space requests and assignments, and support decision-making with accurate utilization reporting across all campuses.

What We Do

Facilities Inventory Management

We keep the official record of every room and building space at Georgia Southern. This includes semesterly submissions to the University System of Georgia (USG) and physical space audits every two years to ensure our data matches real use. Accurate inventory supports budgeting, accreditation, and long-term planning.

Room & Space Listings (Ad Astra + ESRS)

UPS maintains the room listings used for scheduling classes, events, and reservations in Ad Astra and ESRS (Eagle Space Reservation System). We work with designated space approvers to ensure accuracy and to support proper space allocation for events, classes, and renovations.

Space Allocation & Utilization

Changes to how space is assigned or used are reviewed by the Facilities Planning Committee (FPC), which meets quarterly. An approved Space Request is required before a Facilities Project Request (FPR) can be scoped by a Project Manager.

Space Inquiries & Leasing Coordination
UPS manages space leasing for external organizations, from initial inquiries through move-in.

How You Can Help

  • Report any discrepancies in space data.
  • Keep your unit’s ESRS Space Approvers current.
  • Route all proposed space changes through UPS or the Facilities Planning Committee.
  • Do not alter signage, seating, or room use without approval.
