Welcome to the R Drive!

The R Drive is a network shared drive designed to help your department collaborate and share documents efficiently. This guide will explain how to access and use the R Drive effectively.


Accessing the R Drive

The R Drive should automatically map to the folders that you have access to. You may see a new drive letter assigned to the R Drive in your File Explorer.

On Mac devices, you might need to manually map the R Drive. Consult your department’s IT representative or refer to any additional resources provided by your IT department for instructions on how to map a network drive on a Mac.


Navigating the R Drive

The R Drive consists of a main folder called “Common” and potentially additional custom folders specific to your department’s needs.

This folder is accessible to all members of your department. You can:

  • View all files and folders within “Common.”
  • Create new folders within “Common” to organize departmental documents.
  • Upload and edit existing files (with standard file permission checks).

Important Notes

While you can delete files and folders within the “Common” folder, you cannot delete the “Common” folder itself.

If your department requires additional folders that should be restricted to specific users, you can request a custom folder be created. To request a custom folder, submit a MyHelp support request and include the desired Folder Name and the users that should have access to it.

Deleted files and folders may be recoverable for up to 30 days after deletion. However, data recovery is not guaranteed and depends on storage availability. If you accidentally delete a file or folder, submit a support request to your department’s IT representative as soon as possible.


Data Ownership

Each department’s R Drive has one or more designated Data Owner(s). These Data Owners are usually department leaders such as the VP, Dean, Dept Chair, or Director. However, the responsibility of Data Ownership can be delegated or shared with other qualified employees selected by the department leader. The Data Owner(s) are responsible for being a point of contact for IT Services and also for approving requests for R Drive folders


Need Help?

If you require access to a Custom folder created by another department or their “Common” folder for collaboration purposes, you can submit a formal request through the R Drive request form.

  • The department that owns the folder you require access to.
  • The specific folder name you need access to.

Once submitted, your request will be reviewed by the folder data owner(s) for approval. You will be notified via email regarding the decision on your access request.
