The Space & Building Management team is responsible for the oversight, allocation, and reporting of university spaces. We ensure that all facilities are managed efficiently and that data on space usage is up-to-date, supporting both campus operations and strategic planning.

Our Services:
- Facilities Inventory Management: We maintain comprehensive records of all building spaces at Georgia Southern University, tracking how each space is used and updating this data regularly. Every Fall and Spring, we submit a Facilities Inventory Data Collection (FIDC) to the University System of Georgia (USG) to ensure accurate reporting of space utilization, which is essential for budgeting, planning, and resource allocation.
- In addition to this, we conduct physical space audits every two years, walking through every building to verify and update space data. These audits are crucial to ensuring that our inventory aligns with actual usage and allows us to identify any changes that need to be addressed. Keeping this data current is vital for strategic planning, improving space utilization, and supporting the university’s mission to manage physical resources effectively.
- Room & Space Listings in Ad Astra and ESRS: We are responsible for maintaining all room and space listings in Ad Astra and ESRS (Eagle Space Reservation System). We work with designated space approvers to ensure accuracy and to support proper space allocation for events, classes, and renovations. If you need space approvers or room listings updated, please submit a MyHelp Ticket.
- Space Allocation & Utilization: Requests for space changes, modifications, or repurposing are reviewed by the Facilities Planning Committee (FPC).
- All requests for changes must be submitted to either the Dean/Director of the respective department/college.
- The FPC meets quarterly (February, May, August, & November) and is chaired by the Space Manager. FPC consists of the Provost, VP for Student Affairs, VP for Business & Finance, VP for University Advancement, AVP for Facilities Services, and Executive VP for Enrollment, Marketing & Student Success.
- Please review the Space Management & Use Policy if needed prior to submitting a Space Request.
- Note: An approved Space Request is required before a Facilities Project Request (FPR) can be properly vetted and estimated by a Project Manager for scopes that include (renovations and allocation or functional use changes.

- Space Inquiries & Leasing Coordination: For potential lessees looking to rent space on campus, we manage all aspects of space assignments, inquiries, and move-in coordination. We guide lessees through the process, from initial inquiries to space selection and move-in arrangements. Our goal is to ensure smooth transitions and clear communication throughout the leasing process. Please fill out the Leasing Inquiry Form and return to sbm@georgiasouthern.edu
Policy Updates: In line with the latest policy revisions, any significant space changes, such as modifications to room functions or seating capacities, must be reported for accurate inventory tracking.
How You Can Help: We encourage the Georgia Southern community to report any discrepancies or inaccuracies in space data to ensure our records remain accurate. However, please note that any changes to the functional use of rooms, seating capacities, or room numbers must go through the Space & Building Management (SBM) or the Facilities Planning Committee (FPC) for approval. No modifications should be made without proper authorization.
