Student Withdrawal Procedures
If you are needing to withdraw from Georgia Southern University for the current term or a future term, please review the information below to determine what type of withdrawal you will need to process with the Office of the Registrar. Important Information – Officially Withdrawing from the University:
Officially withdrawing from the University means a student withdraws from all of their courses. A full refund will be processed for students who officially withdraw prior to the last day of the drop/add period. Students officially withdrawing on or after the last of the drop/add period will owe a prorated tuition-fee amount. Any charges or refund amounts will display in WINGS approximately two to four weeks after classes begin.
Please note, student withdrawals as they relate to residence halls and food service charges are contained in agreements and/or contracts.

Types of Withdrawals
Complete Withdrawal: To discontinue enrollment prior to the last day of the drop / add period, a student should complete and submit a Voluntary Cancellation/Withdrawal Form. Students are unable to drop their last course in WINGS.
Any student who wishes to withdraw from all remaining courses for the current term after the drop / add period must also complete and submit an official Voluntary Cancellation/Withdrawal Form. Students are unable to withdraw from their last course in WINGS. Failure to complete and submit an official form could result in the assignment of failing grades in all courses for which the student registered. A withdrawal is not permitted after the last day of classes. Grades of “W” will be given for all courses if the withdrawal is before the last day to withdraw without academic penalty. Grades of “WF” will be given for all courses if the withdrawal is completed after the last day to withdraw. A “WF” grade is calculated in the GPA as an “F” grade.
Before withdrawing, students should speak with their instructors, academic advisors, and financial aid counselors. While there can be good reasons for withdrawing from the term, students should understand the consequences for their degree program, progress toward graduation, and financial aid.
Voluntary Cancellation/Withdrawal
If a student wishes to discontinue enrollment before the first day of classes, the request will be processed as a voluntary cancellation. Cancellations do not have an impact on transcripts or finances.
After the first day of classes, the request will be processed as a voluntary withdrawal from the specific semester(s) requested and “W’s” will replace the courses on transcripts. Students may also have financial responsibilities for the days prior to withdrawal.
Medical Withdrawal
Withdrawal requests that involve medical concerns are reviewed by the Counseling Center. Official documentation is required that demonstrates significant physical or psychological impairments that interfere with the student’s ability to successfully meet academic requirements.
Military Withdrawal
Withdrawal requests due to military orders are reviewed by Military and Veteran Services. Students with military orders should contact the Military and Veteran Services.
Hardship Withdrawal
In the event a student faces circumstances of extreme duress beyond their control, they may request a hardship withdrawal from the university. This request will be reviewed by the Dean of Students Office, and will require documentation to substantiate the request.
Retroactive Withdrawal
Retroactive withdrawals are requests to withdraw from a term that has already ended. These requests are reviewed by the Provost’s Office and require supporting documentation. For questions regarding retroactive withdrawals please contact the Provost’s Office at provost@georgiasouthern.edu.
Partial Withdrawal
Partial withdrawals are requests to withdraw from an individual course, or multiple courses, without completing a total withdrawal from the university. All partial hardship withdrawals are reviewed by the Dean of Students Office. Partial withdrawals of a medical nature are reviewed by the Counseling Center. Both requests will require documentation to substantiate the request. Students who complete a partial withdrawal after the term drop/add period has ended will not receive a refund or tuition/fee adjustment(s) to their account. Submission Process
Full Hardship Withdrawal
Students must submit a form for a full hardship withdrawal through the Registrar’s Office website. Supporting documentation must be uploaded with the form. If no documentation is uploaded with your submission, it is considered incomplete and will not be reviewed. After seven (7) days* without supporting documentation, the request will automatically be denied.
The deadline to submit a withdrawal request is 12 noon on the last day of classes for that term, according to the academic calendar.
Any withdrawal requests submitted within less than 7 days of the last day of class, according to the academic calendar, will not have an additional 7 days to submit documentation. All supporting documentation must be submitted by the last day of class at 12 noon. Documentation submitted after that time will not be reviewed.
Partial Hardship Withdrawal
Students must submit a form for a partial hardship withdrawal through the Dean of Students Office Request for a Partial Hardship Withdrawal form. Supporting documentation must be uploaded with your request. If no documentation is uploaded with your submission, it is considered incomplete and will not be reviewed. After seven (7)* days without supporting documentation, the request will automatically be denied.
Any partial withdrawal requests submitted within less than 7 days of the last day of class, according to the academic calendar, will not have an additional 7 days to submit documentation.
